Billing and inventory software: a checklist for Indian businesses
Plan sales, purchases, stock movement, permissions and reporting before choosing or commissioning billing and inventory software.

Write down how stock moves
Map purchases, receipts, transfers, sales, returns and adjustments. Identify whether you manage one location or several, and whether products require variants, batches, expiry dates or serial numbers. A garment shop and a pharmacy can have very different workflows even when both need billing and stock reports.
Check the complete sale and return journey
Prepare sample transactions and use them during a demonstration. Ask how discounts, different payment modes, customer records, cancellations and returns are handled. If your business needs tax-related invoicing or integrations, have the requirements reviewed for your circumstances and confirm the supported features in writing rather than assuming every package includes them.
Match devices and working conditions
List the computers, printers and scanners you already use. Ask about device compatibility, internet requirements, offline behaviour and what happens after a power or connection interruption. Test the actual workflow on the devices you intend to use. Barcode scanning in a stock system is different from obtaining official product barcode numbers.
Give people the right permissions
Discuss who can change prices, delete transactions, adjust stock and export reports. Look for a useful activity history and clear arrangements for backups and restoring data. Ask who owns the records and how you can export them if you change systems. A backup is only useful when the restore process is understood.
Compare the full scope
Review setup, data import, training, support, hosting, renewals and integration costs alongside the initial price. Choose reports that answer real questions, such as what needs reordering or which items have stopped moving. Before committing, request a walkthrough using your product types and everyday transactions. Features and suitability should be confirmed in the proposal.
